What This Tool Offers

Business Change & Strategy Planner helps you examine changes outside your organization alongside its internal Strengths and Weaknesses. It then guides you through choosing priorities and turning the most useful findings into a strategic action plan. You can use it for a business, nonprofit, public agency, school, department, program, or particular product or service line.

Instead of stopping with a list of factors or a four-box SWOT chart, you can record evidence, note what remains uncertain, define measures, compare possible priorities, and connect specific Strengths with Opportunities and specific Weaknesses with Threats. The final Report brings your planning context, ranked priorities, actions, and supporting information together.

The ratings produce initial scores to help you compare findings. They do not make the decision for you: you choose what to prioritize, how to rank it, and which combinations warrant action. A focused plan may leave some findings for monitoring rather than turning every observation into a project.

How to Use This Tool

Step 1: Define Your Planning Context

Select Start a New Plan. Describe the organization or part of it you are analyzing, the market it serves, your planning objective, your time horizon, and any relevant locations. Make the objective specific enough to guide later decisions.

Step 2: Review External Changes

Work through the 16 External Review Areas, which cover broad conditions, market forces, customers, competitors, partners, platforms, and possible disruptions. For each area, decide whether something matters now, nothing important stands out, or you need to revisit it. Add an External Factor for analysis when you identify a specific change that could affect your organization; classify it as an Opportunity, a Threat, or both. Support it with an observation or source, explain what that evidence does not prove, and note what you should watch for next.

You do not need to add a factor in every area. To move forward into the external priority review, make a definite review decision in at least three areas. Before moving on to Strengths, review all 16 areas or simply choose to continue without full coverage. Areas left unfinished can always be revisited later.

Step 3: Assess Opportunities and Threats

Review the external factors you entered. Rate the potential impact and likelihood of each Opportunity or Threat, along with strategic fit for Opportunities or vulnerability for Threats. Decide whether each belongs in your current priority list or should be monitored instead. Save the review after making changes because selecting an option alone does not save it.

Step 4: Identify Strengths and Weaknesses

Record specific internal capabilities that could help you achieve your objective, then specific gaps or dependencies that might limit it. For each, explain the evidence and its limitations, identify a meaningful measure, record a current baseline and desired result, and choose whether to prioritize or monitor it. For a Weakness, judge whether a serious external Threat could expose it as a potential fatal flaw, but do not mark every limitation as one.

Step 5: Set Your Priority Order

Compare your saved Opportunities, Threats, Strengths, and Weaknesses in their separate priority lists. Use the initial scores as a starting point, then move items into the order that makes sense given your evidence, timing, available resources, and planning objectives. Your chosen order (not the score alone) appears in your Report.

Step 6: Build Your Action Plan

As a general guide, devote about 80% of your action-planning effort to growth. Match priority Strengths with external Opportunities they can help you pursue. For each useful pairing, write a specific Growth Action that explains how you will create value or expand your impact. You do not need an action for every possible pairing.

Devote about 20% of your effort to focused Risk Mitigation. Match a Weakness you have identified as a potential fatal flaw with a specific external Threat that could expose it and seriously impair your organization. Write an action to reduce that risk or prepare a response. The tool may also suggest a limited number of optional precautionary pairings for other Weaknesses. These suggestions do not mean those Weaknesses are fatal flaws.

For each action, explain why the pairing matters, identify practical steps, assign an owner, and add a target date and needed support when possible. Save each action, then set its priority within the Growth or Risk Mitigation action list. Update its status as work progresses. The 80/20 guide concerns the effort and resources you plan to devote to growth and protection. It is not a target for the number of actions. An urgent risk may call for a different balance.

Step 7: Review Your Report

Open the Report to check your planning context, your chosen order for Opportunities, Threats, Strengths, and Weaknesses, and the separate action priority orders you set for Growth and Risk Mitigation. The highest-priority action in each list appears first. Examine the evidence and measures behind each pairing. Review any Items to Revisit. To change an action order, return to the Action Plan screen and move the saved action. Save any edits to forms, then reopen the Report.

Managing Your Results

Save your editable work: First save any form you are currently editing. Then select Save My Progress to create an encrypted save code for the work saved so far. Copy it or download it as a text file and keep it somewhere private. Your browser session is temporary; the save code is what lets you restore the editable plan later. Anyone with the code may be able to restore it, so do not publish or share it casually.

Return and revise: Select Resume a Saved Plan and paste the code or choose the saved text file. After editing your restored plan, save the affected forms and create a new Save My Progress code. An older code is an earlier snapshot; it does not update automatically when you make changes.

Share a finished view: From the Report, choose Generate PDF for a fixed copy, Download RTF for an editable document, or Print. Review the output before sharing it, especially if your entries contain private business, customer, employee, or planning information. PDF and RTF reports are for reading and sharing; they cannot restore your editable work in the planner.
